What’s the purpose of role: The key purpose of this role is to assist with the organisation of dnata Catering UKs fast paced fleet department you will be responsible for providing first class administrative support to the Fleet Department ensuring compliance. This is a fixed term contract for 12 months. Who you’ll deal with: Internal: All service delivery teams, units and company car drivers External: Suppliers, Insurance and Regulatory bodies What you’ll be doing: Responsible for all Central Fleet administration e.g. booking arrangements, maintenance management and information processing Undertake the administration of the driver Certificate of Professional Competence ensuring the database is updated with training documentation Update records so that they are accurate and up to date at all times Responsible for the Duty of Care monthly administration Administration of all company transport activity including maintenance, accident, fines and fleet management of company vehicles Ensuring that all vehicles are serviced in order to meet legislation Manage driver Certificate of Professional Competence bookings and uploads Maintaining the Jamma Key 2 database Monitor cost and provide administration of budget management escalating to Fleet Manager as appropriate Use SAP to raise orders and process invoices for cars, accidents and fuel receipting where necessary Responsible for the maintenance of the Master Insurance Database for all vehicles including daily hire Complete HMRC paperwork for issuing to the Fleet Manager Provide continuous support for all units across the UK promptly responding to queries across all business unit’s Administer the AA drive Tech for employee’s providing help as necessary Communicate with external stakeholders e.g. sourcing parts and ordering stationary Consistently deliver excellent Customer Service Undertake ad-hoc administrative duties within the Fleet Department contributing to the smooth running of the Fleet operation This list is not exhaustive, accountabilities may vary dependant on locality or role complexity and may include any other duties considered reasonable by the line manager. What you’ll have: Strong IT skills; experience of Microsoft Access, Excel, Office, Word and Outlook Possess excellent communication and interpersonal skills, both verbally and written, with experience of professionally liaising with colleagues, managers, and external customers on the telephone daily Telephone experience Demonstrate a high level of attention to detail and organisation, be disciplined in your work and have a can-do attitude Prioritise and manage own workloads effectively with the ability to work under pressure and adhere to strict deadlines Be self-motivated with the ability to work on own initiative What’s Special about the role: The Role of Fleet Administrator is accountable for inputting and updating Fleet records in line with the defined parameters. A transactional role focused on data inputting and accuracy of information with direction and guidance easily accessible via the Fleet Manager. Works within defined legislative and company standards highlighting any concerns to be addressed by a manager. Will be required to interact with the team, colleagues from other sites and process areas and contractors.
