Williams Lea employees, nearly 7000 people worldwide, who provide efficient business services at client sites in often complex and highly regulated environments, from centralised Williams Lea onshore facilities, and through best cost company offshore locations.Purpose of role As a Administration Assistant you will have the opportunity to greet visitors, make office supply arrangements, schedule meetings and appointments, and provide excellent administration support to the office for our client based in London.A successful Administration Assistant should have a welcoming and pleasant personality, with the ability to easily build rapport with people. They should be able to deal with urgent tasks in a timely and effective manner, and the ability to multitask is important for this position. This is a hands-on role and will involve working alongside team members to deliver an overall exceptional service to our clients.Key responsibilities Greet clients and visitors to the office with warmth and professionalism, notify employees of visitor’s arrival when necessaryDiary management and planning, including meeting room bookingsSetting up meeting rooms and organising catering (hospitality)Coordination of mail and couriersOrdering stationary supplies and cateringOffer IT and admin support and assistanceAdministrative ResponsibilitiesPrepare documents – scanning, printing and bindingSorting and distribution of incoming mail – scanning of all incoming documents using the in house post scanning softwareProcessing outgoing mail, including franking letters, organising couriersOrganising and storing the hard copy / original document post storage in line with the client proceduresProcess expenses, book hotel and travel arrangementsClient billingElectronic payments and bank verifyingManage the filing/archiving of deedsAssisting with other legal admin tasks when requiredSupport the Office Manager with any other ad-hoc requestsAttention to detail with an emphasis on accuracy and qualityPersonal attributesFlexible and professional approachA personality that brings positive energy to all areas of the operationA natural passion and desire to create a positive experience for every visitorAbility to communicate at all levels of the business both internally and externallyBe able to use your own initiative with a high level of attention to detail and accuracyTo be able to prioritise and work to deadlinesExcellent knowledge of databases and tracking systemsAble to work independently and in a teamRewards and BenefitsWe believe in supporting our employees in both their professional and personal lives.
