The Role

As an Administrative Executive, you will act as the point of contact for all employees, providing administrative support with knowledge of the work environment, health & safety, office equipment and office management tools.

You will help with procurement, vendor management, preparing and generating regular reports such as expenses and office budgets.

Key responsibilities:

  • Manage office supplies stock and process approval and place timely orders.
  • Prepare regular reports on expenses and procurement budgets.
  • Provide access to visitors/guests and process the access requests in a timely manner including liaising with building security and management.
  • Manage BMS activities like temp and environmental control, fire system checks, leak detection system checks, monitoring, and control.
  • Access control and CCTV camera operations along with in liaison with other departments for Network activity.
  • Liaise with vendors for running regular BMS operations and AMC.
  • Provide health and safety induction and checks.

Your Profile

Key skills/knowledge/experience:

  • Experience in administration with facility management.
  • Experience in office management such as MS Office Programmes (MS Excel and MS Word, MS Teams).
  • Good communication skills both written and verbal with ability to think analytically and concern for quality of delivery.
  • Knowledge of BMS and HSE activities including basic knowledge of networking, IT, Cloud, Physical & Digital security for access control and CCTV camera operation.
  • Strong organisational skills with a problem-solving attitude.
  • Ability to be a team player who collaboratively strives to achieve the common goal.
  • Ability to adapt by embracing change to improve the quality and effectiveness of work.

Good to have:

  • Certification in Network, Cloud, and Physical access control infrastructure.
