Our business is growing quickly and we are recruiting for a Bid and Project Coordinator to join our team.


This role will be hybrid working with the requirement to be based in either our Manchester or Birmingham (based on your location) office a minimum of 3 days a week.


Role Overview:

As Bid and Project Coordinator you will play a key role in supporting work winning and delivery projects. You will have a ‘can do attitude’, enjoy working with several stakeholders and thrive in a challenging and fast paced environment where working under pressure and flexing to meet deadlines is the norm. This role will require strong people management and excellent organisation and communication skills, with an ability to work under your own initiative and go the extra mile when needed.


On bids, you will support the Bid Lead/Manager and be responsible for supporting internal and client bid teams to progress and submit high quality, compliant and timely bid submissions, working in line with agreed bid processes and programme deadlines. You may be required to coordinate several, concurrent bids, occasionally writing, reviewing and editing parts of bid submissions as required.


Key Responsibilities:

  • Bid preparation: organise and prepare bid documentation in accordance with coordination best practice and client requirements
  • Manage deadlines: ensure programme requirements are met, supporting bid teams as required to ensure all submissions are compliant, completed on time and to the highest standard
  • Stakeholder communication: facilitate communication between internal and external teams, gathering the necessary information and ensuring alignment and collaboration throughout the bid/project lifecycle. Support technical teams, writers and subject matter experts to gather relevant information to incorporate into relevant responses/management plans
  • Research and analysis: conduct research on bid/project requirements, market trends and competitor activities to inform bid and project strategies
  • Documentation management: maintain organised records of all bid/project-related documents, ensuring information is distributed to bid/project teams as required
  • Quality assurance: support the bid/project team to ensure accuracy, compliance with specifications and alignment with client needs and expectations
  • Proposal development: assist in developing compelling submissions by contributing content, formatting and design elements as needed
  • Client relationship management: help build and maintain positive relationships with clients, responding promptly to enquiries and addressing any concerns to support successful outcomes
  • Diary management: arrange bid/project meetings, supporting with preparation, facilitation and follow-up as necessary

Bid library management: Contribute to the management and maintenance of our bid information library


Experience and Qualifications:

  • Bachelors degree (or equivalent work based training) in Business, Project Management or a related field preferable
  • Proven experience in bid and project coordination roles (preferably in public procurement and the built environment) across a range of projects, including large scale schemes
  • Excellent written and verbal communication skills
  • Strong organisational skills required to manage multiple bids/projects simultaneously, keeping
  • track of deadlines and documentation
  • Attention to detail, ensuring the accuracy and completeness of bid/project documentation and
  • submissions
  • Team player who enjoys working with cross-functional teams
  • Able to problem solve and identify and address potential challenges before they impact
