Job summary East of England Provider Collaborative Transformation and Commissioning Team is seeking a highly skilled and proactive Business Support Assistant (12 months maternity cover) to join their dynamic team. The role of the Business Support Assistant is to work as part of a dynamic team in delivering an effective service, supporting managers and staff across the learning disability and autism programme in the East Region Specialised commissioning. Business Support Assistant will play a vital role in supporting the smooth functioning of our team, ensuring efficient administrative operations. The successful candidate will be highly organised, efficient with proven administrative experience, capable of working both independently and with the team. With the job primarily involves remote work, we will require person to attend face to face team meetings at least once a month, either in the Cambridge area or at our hub office in Fulbourn. Main duties of the job The ideal candidate will have experience of secretarial business support and a strong team work ethic, sense of accountability, accompanied by an ability to work under considerable pressure at times.This varied role includes but is not limited to; diary management, working with spreadsheets, minute-taking, supporting the senior leadership team to ensure systems and procedures are put in place to deliver a service that meets Trusts targets and standards. Job description Job responsibilities Please refer to the attached job description and person specification for full details of responsibilities Support the Care and Treatment Review (CTR) process for all adults with a learning disability and/or autistic spectrum disorder (ASD) in prescribed services and children and young people with a learning disability and or autistic spectrum disorder (ASD) in child and adolescent mental health services (CAMHS). Arrange CTR meetings, which involve liaising with all relevant stakeholders including provider units, parents and carers, CCG and Local Authority teams, care co-ordinators. Support the appropriate and timely access and egress of people with a learning disability and autism Assist with collating and preparing patient level data in summary and detailed format for national, regional and local requirements Administrative support to the learning disability and autism lead and the learning disability and autism project manager provide and receive information which may contain an element of contentious and sensitive information To be the first point of contact for communication and support for the Learning Disabilities and Autism Team Updating and maintaining databases, Diaries and managing meetings as required Provide support with a wide range of administrative and computer skills as well as being aware of maintaining a range of knowledge and understanding of procedures at protocols and functions Extensive organisational support of the Care and Treatment Review process Post Holder must have a standard level of keyboard skills and able to use Microsoft Office programmes Required to input, monitor and check data produced and required for on-going programmes and projects. Working with all team members in the collection of information for performance reporting on relevant team projects. Prepare agendas, take minutes, track and follow up on actions and distribute notes of meetings, ensuring papers are ready and distributed for meetings. To provide administrative support / cover, when necessary to Provider Collaborative Transformation and Commissioning Senior team: Provide support to the meetings including organising and coordinating diaries and F2F meetings, booking venues. Plan and co-ordinate appointments, including rearranging and prioritising as appropriate. Provide cross cover for colleagues as required. Person Specification Education / Qualifications Essential Educated to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience. Experience Essential Significant administrative/ secretarial experience including initiating and maintaining office systems. Good working knowledge of administrative processes and procedures Intermediate knowledge of IT systems and software programmes such as Teams, Outlook, Word, Excel and PowerPoint Skills & Abilities Essential Good skills and experience with Microsoft Office products and well-developed organisational and presentational skills Strong administration and organisational skills Clear communicator with excellent writing, data entry and presentation skills: capable of constructing and delivering clear information/ instructions to staff and service users Ability to work under pressure in a busy working environment and able to multi-task Ability to work without supervision.
