What is the purpose of the job?

The Communications Team Assistant will play an important role a fast paced and agile communications team. The purpose of the role is to help ensure the smooth running of the team and supporting key projects. The successful running of the team depends on having a strong grip on key administrative activities such as making sure key meetings are scheduled with agendas, taking and sharing notes and actions. This role also has the opportunity to gain a wealth of experience working with different functions within the communications team on key and high profile projects.

What can I expect to do in this job?

This isn’t an exhaustive list, but things you can expect to be involved with include:

·       Responsible for making sure all key team meetings and meetings with members and stakeholders are scheduled, and agendas are circulated in a timely manner.

·       Diary Management of the Head of Communications and Head of Media to include arranging meetings, liaising with internal and external contacts, greeting guests, room bookings and catering.

·       Coordinating large workshops and meetings involving the communications team and/or external stakeholders. This will include liaising with internal and external contacts, room bookings, and ensuring agendas are agreed and papers/equipment are ready in time.

·       Travel arrangements to include booking hotels, train tickets and flights.

·       Help to maintain good management of team budget by raising purchase orders and submitting invoices and expenses into the system in a timely manner in line with company policy.

·       Producing and circulating actions from key meetings and following up to ensure progress.

·       Getting involved in the work of the communications team: tasks will vary but you will be expected to support the different parts of the communications team. This may include but is not limited to:

o   Producing or editing content for the intranet.

o   Keeping a record of positive stories from our members (Train Operating Companies).

o   Listening to interviews or political debates and providing a write up.

·       Develop an understanding of the key communications issues facing the rail industry and some of the key influencers and decision makers.

·       Contribute ideas and creative thinking: participate in workshops and brainstorming sessions to generate ideas that help to make RDG’s communications more effective and engaging for all our audiences.

  • A strong administrative background.
