Data Protection Manager

We are currently looking for an experienced Data Protection Manager to join our Data Protection & Assurance Team.

You will lead and develop our data protection team providing assurance for data protection activities across the service ensuring that we comply with our legal obligations to protect personal data and provide the highest standard to our customers and employees.

Contract: 12 month Fixed Term Contact

Working hours: 35 hours per week is full time. Where possible, we are open to considering part time/flexible working patterns. Please let us know in your application your desired working pattern.

Reporting to: Deputy Data Protection Officer

Our permanent hybrid policy sees us all working at least four days across a fortnight in the office.

The data protection legislation is detailed, and you will be an expert in the field, being the escalation point for the team and wider organisation in respect of complex and sensitive data protection and privacy matters. You’ll need to be confident in providing solutions-focused data protection subject matter expertise, work in partnership with colleagues to evaluate data protection risks and identify migrating controls, build strong relationships with senior leaders, and embed privacy by design into all activities.

With the rapidly advancing pace of technology and as the Ombudsman Service continues to innovate and improve the ways in which it works, your role will be pivotal in ensuring the rights of individuals are protected.

You’ll champion the highest standards of data protection and fostering a culture of privacy. You’ll be on the lookout for best practice and how we can use the latest developments to continuously improve how we deal with data protection. You’ll bring that insight back to the ombudsman service to embed into your team and, working with relevant senior colleagues, across the organisation where necessary.

As a hands-on manager, you’ll help manage and develop your team through coaching, sharing knowledge and giving feedback in the moment – encouraging continuous improvement. And you’ll provide support to senior leaders –– helping us deliver on our organisation’s wider objectives and commitments.

Key responsibilities

  • Helping the whole organisation comply with relevant legislative and statutory requirements for data protection – including through promoting good practices and improving awareness of relevant policies and procedures
  • Managing our data protection complaints procedures and ICO investigations for all data protection matters (except information rights requests)
  • Managing our data protection awareness and communications programme, ensuring timely and accurate data protection information is provided across the organisation
  • Understanding how the data protection function is performing against key performance indicators– and identifying any concerns or observation with the DPO to influence the data protection action plan
  • Ensuring our policies, procedures, privacy notices and guidance notes remain up to date
  • Managing our formal, documented records of processing activities and establishing policies and procedures to ensure that it remains accurate and up to date
  • Establishing and managing our policies and procedures to ensure we appropriately manage data sharing decisions and working with colleagues in information security and legal to ensure that we have procedures in place to make sure that restricted transfers are made appropriately
  • Providing risk-based advice on PIAs and DPIAs across the service, as necessary
  • Proactively monitoring and managing performance, addressing issues effectively – including listening and responding appropriately to customer feedback and service complaints
  • Providing coaching and professional development so your team can maintain and continually improve the skills they need to handle all aspects of information rights work effectively
  • Creating a culture where people in your team are encouraged and inspired to deliver measurable improvements to customers

To be considered for this role, you’ll need to show us that you’ve got the skills and capabilities. You’ll have to meet the following minimum criteria:

  • Experience of managing a team of specialist data protection experts
  • Demonstrate a deep knowledge and understanding of data protection legislation – with the ability to apply this in a practical way to individual projects, risks and advice
  • Qualified in data protection or equivalent relevant experience managing data protection activities
  • Demonstrate the skills and knowledge required for the role
  • Demonstrate experience managing risks and issues and communicating the impact to relevant stakeholders

We would also like you to have the following skills:

  • Experience of influencing and persuading at a senior level – and experience of stakeholder management
  • Be an outstanding communicator and listener with the ability to collaborate and build great working relationships with your stakeholders
  • Have strong prioritisation skills and able to effectively manage user expectations
