Document Production Workflow Coordinator

Permanent

8:30am – 4:30pm

Hybrid working – 2 days per week in the London office, 3 days per week from home


Large prestigious law firm are currently recruiting for an experienced Workflow Coordinator to join their in-house legal document production department on a full-time permanent basis. The role will be working 8:30am – 4:30pm on a full-time permanent basis, paying £43,000 per annum. This role will be working from home for 3 days a week, and from the firms London office for the other 2 days a week.


This role will coordinate work requests submitted by the Corporate department to the Document Processing department. This position is the initial point of direct contact for short and quick document related tasks for Corporate clients within the London office, ensuring smooth intake of work. Role goals include identifying work suitable for the Quick Turn function and personally completing Quick Turn Work (1 hour max estimate), efficient scheduling of work and handing over to colleagues where necessary and excellent technical skills to respond to queries and for troubleshooting tasks.


Core responsibilities include providing intake and assistance with job requests; answering general questions to the department and give assistance to Requestors; perform job quality control checks, coordinate proofreading by operators when necessary, collaborate with Document Specialists to troubleshoot job-related issues.


Other position expectations include but are not limited to;

  • Consistently deliver high quality services on time, with a focus on responsiveness, client satisfaction, effective client communication and client service orientation.
  • Liaise closely with Document Production and departmental contacts to filter requests as appropriate, as well as utilising a working knowledge of current Document Production and providing quick turnaround service via email and/or an electronic submission tool as well as helping clients to appropriate solutions.
  • Utilising client tools and templates in document preparation as required.
  • Technical document trouble-shooting support as required within the centre or directly with centre users.
  • Performing quality control measures on work produced.
  • Managing and prioritising assigned projects to ensure deadlines and expectations are met.
  • Acquire and maintain an in-depth working knowledge of the client's working environment and business needs.
  • Effective project communication.
  • Responsible for continuing to upgrade work skills by participating in company-offered training and development programs and staying abreast of technology changes relevant to this role.
  • Hours of work: flexible but initially either 8.30-4.30pm or 9.00 to 5pm with at least two days in the offices.
  • Location: London.
