Job Description

We are looking for an experienced Event Coordinator to help deliver clarity to our clients’ most complex governance, risk, and transparency challenges.  Event Coordinator role at Kroll demands an experienced professional with a proven track record of delivering a variety of different types of events both internally and externally including budget management. The role requires strong interpersonal skills to communicate with stakeholders, vendors, and clients. The role demands planning the event from start to finish according to the event brief and ensuring customer satisfaction from the target audience. This role will be part of our Event Manager team in UK.

Day-to-day responsabilities :

  • Planning events from start to finish according to event brief.
  • Liaising with client to understand event objective.
  • Preparing event scope and budget requirements.
  • Resourcing support, monitoring, and evaluation of staff.
  • Sourcing and negotiating with venues, suppliers, and vendors.
  • Coordination of all operations including equipment, catering, theme, décor, entertainment, and promotional activities for the event.
  • Management of AV and technical requirements.
  • Identification of host and VIP attendees.
  • Managing registration of the event and communication with stakeholders and attendees.
  • Managing specific attendees’ requirements (dietary, medical needs etc.).
  • Managing travel and accommodation if required in accordance with global travel policy.
  • Ensuring compliance with Kroll’s health and safety regulations, company insurance and providing relevant risk assessments.
  • Planning and managing events’ calendar.
  • Managing event materials, merchandise, and giveaways.
  • Analysis post event of customer’s satisfaction.
  • Reconciling final accounts.
  • 2 to 5 years of experience in event management and strong project management skills.
  • Creating event briefs and detail proposals.
  • Experience sourcing and communicating with suppliers and vendors directly.
  • Knowledge of London venues and research skills.
  • Experience with RFPs.
  • Confident in managing budgets and event forecasts.
  • Problem solution ie COVID that impacted on the event delivery – ensuring safety of attendees, minimizing financial risk.
  • Exceptional time management and organizational skills.
  • Ability to anticipate needs, priorities meet deadlines.
  • Excellent verbal and written communication skills.
  • Good understanding of AV and production.
  • Advance knowledge of Microsoft products.
  • High level of interpersonal skills and ability to communicate at all levels.
  • Proactive and creative mindset.
  • Strong attention to detail and high level of integrity.
  • Experience in overseeing budgets and expenses.
  • Excellent time-management skills and an ability to organize and coordinate multiple concurrent projects and remain calm under pressure.
  • Proficient IT skills and an aptitude for learning new software and systems.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Ability to maintain confidentiality of information related to the company and our employees.
  • Understanding of project management.
