Job Description

We are recruiting for a successful Executive Search/Headhunting firm in Convent Garden and they are building a team of skilled and confident Project Coordinators to support across their sector specific search teams, and they are now looking for a 3rd member to join their team. They are based in open plan offices near exciting Covent Garden and they require a bright and capablecandidate who has at least 3 years + team EA or coordinator experience ideally in executive search, or professional and financial services. They are a really personable, impressive bunch and they all execute their roles to the highest standard. This role is supporting the Financial Services and CFO search practices, and they are a very high performing team, which is fast paced and thus can be really pressurised at times. As a result they need someone who is confident in their abilities, super organised, process driven, able to manage up and who will take ownership of their role. A resilient nature is key and someone who can keep calm under pressure is important. Day to day duties will include but not be limited to:

  • Coordinating external client and internal candidate meetings, setting up conference and video calls
  • Track searches and attend client update meetings
  • Scheduling meetings between clients and candidates and keeping meeting administration logs/CRMs up to date, alongside all relevant people informed
  • Maintaining interview momentum – informing team members if there are problems and working together to resolve them
  • Effective project liaison point and communication hub
  • Compiling PowerPoint documents for client presentations
  • Producing and formatting reports – this involves assisting with long lists/short lists/candidate bios/appraisals/references and other documents as requested
  • In line with GDPR, ensure that best practice is taken across your team when sending any documentation / liaising with others outside the company
  • Assisting and co-managing diaries for members of the team;
  • Arranging travel, hotels, lunches, and dinners
  • Processing expenses monthly
  • Raising issues (search or other matters) with the team as they arise
  • Obtaining CVs/deal lists from candidates
  • Appraisal formatting and proof reading

The successful candidate will have excellent organisation, time management and communication skills and will be able to manage and prioritise a busy workload whilst ensuring deadlines are met and client/candidate expectations exceeded. You will be part of a wonderful admin team and there is scope to grow and take on more. This role offers hybrid working with 3days in the office Tuesday - Thursday. Central to this search is someone with the right aptitudeto learn, work hard and muck in with whatever is required and go the extra mile. Previous experience working in a pressurised, fast paced environment is desired so you can hit the ground running. This is a really great company to work for!
