Exhibitor Relations Assistant - The Armory Show 2024

Frieze is the world’s leading platform for modern and contemporary art, dedicated to artists, galleries, collectors and art lovers alike. Frieze comprises three magazines – frieze, Frieze Masters Magazine and Frieze Week – and seven international art fairs – Frieze London, Frieze Masters, Frieze New York, Frieze Los Angeles, Frieze Seoul, The Armory Show and EXPO Chicago. Legacy art fair brands The Armory Show and EXPO Chicago were acquired by Frieze in September 2023. In October 2021, Frieze also launched No.9 Cork Street, a permanent space for visiting international galleries in the heart of Mayfair, London. Frieze is part of the IMG network.

A cornerstone of New York's cultural landscape since its founding in 1994, The Armory Show brings the world's leading international contemporary and modern art galleries to New York each year. The fair plays a leading role in the city's position as an important cultural capital through elevated presentations, thoughtful programming, curatorial leadership, meaningful institutional partnerships, and engaging public art activations.

The Armory Show, taking place September 6-8, 2024 with a VIP Preview September 5 at the Javits Center in New York City, and we are seeking enthusiastic and self-motivated candidates for several positions. Starting part-time in late spring/early summer and transitioning into full-time leading up to and during the fair, the position will end after the fair in mid-September. The roles each offer a diverse set of responsibilities, and valuable insights into the inner workings of one of the world’s largest and most prominent international art fairs.

Exhibitor Relations Assistant

Exhibitor Relations Administrative Support

  • Assist Director of Production and Production Coordinator in liaising between exhibitors and operations vendors to ensure booth plans and logistics are mutually approved
  • Assist Production Coordinator with Platform project installation logistics
  • Perform data entry and maintenance for exhibiting galleries and prospective clients
  • Assist with collection and processing of exhibitor-related forms
  • Process exhibiting gallery VIP requests
  • Process and copyedit Exhibitor Website Listings
  • Manage partnerships and procure materials for Exhibitor Welcome Bags and Lounge
  • Manage exhibitor inquiry inbox
  • Facilitate in-house exhibitor mailings

On-site Support

  • Oversee build-out and upkeep of Exhibitor Lounge
  • Manage distribution of Exhibitor Welcome Bags
  • Draft Exhibitor Daily Briefs and oversee distribution of these and other exhibitor-related materials
  • Act as liaison between the Exhibitor Relations team and Show Office
  • Assist Director of Production with various on-site duties, as needed

Requirements:

The Exhibitor Relations Assistant will work directly with the Director of Production and the Production Coordinator to maintain exhibiting gallery relations, provide administrative support, and ensure all exhibitor forms and booth logistics are confirmed pre-fair. Required skills include:

  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Prior experience working in a gallery or in events a plus

Salary: $27 per hour

Contract dates: June to mid-September 2024
