Responsibilities


  • Sub consultants – ensure all supplier and sub-consultant invoices are approved, coded and posted to the correct project, phase and GL in BST.
  • Set up and maintain supplier and sub-consultant accounts.
  • Liaise with vendors regarding any invoicing and statement queries and payments.
  • Compile weekly BACS runs or when required.
  • Post supplier payments into BST.
  • Manage the Credit Card monthly reconciliations and posting journals, summarising VAT.
  • Collate Credit Card information and liaise with card holders when completing reconciliations.
  • Employee Expense Claims – check all staff expense claim entries in BST, ensuring entries are correctly coded and receipts have been provided.
  • Train new employees in the expense process and ensure protocol is followed.
  • Collate project expense receipts for billing to the client.
  • Administer and chase timesheets.
  • Ensure project records are kept up to date in BST.
  • Monitor payments for CPD invoices.
  • Ensure all Finance documents are saved on the drive, including Sales invoices.
  • Input annual leave into BST.
  • Maintain staff gift register.
  • Maintain client entertainment register.
  • Ensure annual RIBA and ABR registration register is maintained.
  • Ad-hoc reporting and tasks as required by the RFM.


Key Skills


  • Highly proficient in Microsoft Office Suite (Outlook, Excel, Word) is required.
  • Strong organisational and time management skills with the ability to prioritise and meet deadlines.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with the ability to work well in a small team.
  • Outstanding attention to detail.
