Job Description

Flu Fighters is a CityDoc program which delivers flu vaccinations to corporate clients by providing on site vaccinations. Supporting CityDoc in its yearly Flu Fighters program, the Corporate Flu Vaccination Coordinator is responsible for the Operational planning. Corporate customer care. Coordination through to delivery of the program. Documentations. Seasonal Evaluation. Audits. Business development. Undertaking additional tasks commensurate with the role to support operations and clinical services in other organizational departments. Manage and process complaints and incidents that come to your attention. The post holder is responsible for maintaining the good customer relationships with our corporate clients while developing the business model and continually building stronger relationships with new and existing clients. The post holder will develop good communications with the nurses and work to maintain efficiency and smooth operational procedures, from nurse suitability, availability to ordering and delivering the necessary equipment and vaccinations in a timely way. This role requires a high level of autonomy, outstanding communication skills and collaboration with a variety of stakeholders whilst managing customer expectations. The post holder will work with the marketing team to promote and solidify the focus of the CityDoc Flu Fighters brand. The post-holder will be expected to support the company with projects in other service departments outside of the Flu season. KEY RESPONSIBILITIES Generate new business and issue individual quotes based on specific price structures. Coordinate vaccination sessions in companies, schools, and universities according to nurse availability. Maintain nurse Rota in accordance with availability and business demands. Assist in the onboarding processes for clinical staff Manage new customer business. Manage relevant systems and documents such as, consents, and business contracts to finalise the bookings. Logistically organise and project manage onsite sessions across the UK Secure orders and arrange flu vouchers systems as applicable Manage vaccine reconciliation, update documents and clinical policies. Liaise with Influenza manufacturer Sanofi and healthcare logistics service Movianto to organise vaccine delivery and control stock levels for business continuity. Monitor nurses’ calendars, timesheets, and expenses. Upsell pharmaceutical products and cross-sell travel vaccinations to FF clients. Invoice companies and gain feedback to improve the service. Attend training sessions as needed to progress and develop your skill set. Process and document customer information as required while maintaining confidentiality. Deal with enquiries for new and existing customers quickly and efficiently. Send stock to nurses: fridge, sensor clips, cooler bag etc. Organise feedback, leftover vaccines and revenue at the end of the flu season. Provide meaningful reports to management on the status of the programme. ESSENTIAL SKILLS Excellent organizational skills Ability to efficiently communicate at all levels. Excellent customer care focus Ability to work under pressure and be solution orientated when faced with unforeseen issues. Time management skills and ability to prioritise during periods of high demand DESIRABLE SKILLS Project management Previous experience in a corporate customer led role Experience of seeking new business opportunities and upselling. The role has a starting salary of £28500 which will rise to £30000 upon successful completion of probationary period. The role is permanent full time position. MOnday to Friday, 37.5 hours.
