OurProject Managementdepartment serves as a central hub for project oversight, governance and support of the Group’s projects ensuring that all projects are executed effectively and aligned with the business. As we expand, we are seeking a meticulous and dedicatedGroup Project Coordinatorto join our team.

As aGroup Project Coordinator, you will work at all stages of a project from initial concept right through to delivery and sign off. You will interface between the Senior Leadership team and all external consultants, contractors and other project stakeholders.

Your responsibilities will include, although not limited to:

  • Collaborating with a diverse range of stakeholders across the Group, supporting the identification of key project stakeholders to define requirements.
  • Monitoring and tracking project budgets throughout the entirety of the project lifecycle.
  • Reporting on project progress and cost, feeding into the Group Project Manager’s reports to the Board of Directors.
  • Maintaining PMO project folders with up-to-date information for the use of the PMO team as well as stakeholders.
  • Facilitating meetings and site visits including logistics, invitations, schedules, and attendance.
  • Support the development and maintenance of project plan(s), ensuring updates are recorded timely and accurately.
  • Writing notes and minute taking, including maintaining and updating project plans and action logs.
  • Deliver small to medium sized work packages within large projects.
  • To provide support to the Group PMO Team and project team members in completion of their actions, ensuring deadlines and milestones are achieved.
  • Ensuring actions are followed up and progressed by project team members throughout project lifecycles.
  • Reviewing, analysing, reporting on, and presenting data.
  • Maintaining a direct line of communication with the Group Project Manager.
  • Frequent communication with all internal project stakeholders.
  • Producing a weekly internal project update report.
  • Work in accordance with Good Distribution Practice (GDP) and Good Manufacturing Practice (GMP) standards.
  • Completing and correcting GDP documents as per procedure to maintain data integrity.
  • Complete any CAPA assigned to you within the specified timeframe.

To be successful in this role, you should be able to demonstrate:

  • Discipline in attention to detail.
  • Strong communication skills; both written and verbal, with contributions to presentations and reports.
  • Strong written communication is required for internal communication but particularly for communication with external stakeholders, suppliers, and contractors.
  • Stakeholder management skills, both internal and external.
  • Proactive and self-motivated with the ability to multi-task whilst working to strict deadlines.
  • Driven approach to work and achieving results as an individual and as part of a team.
  • Excellent team player working within cross functional project teams to meet common objectives.
  • Must be able to manage and prioritise own work effectively with high level input from the Group Project Manager.
  • Excellent organisation skills with the ability to coordinate tasks across multiple projects and a willingness to ask for help when needed.
  • Ability to deliver small to medium sized projects with minimal supervision whilst complying with Group PMO procedures and objectives.
  • Be self-reliant, driven, and demonstrate ownership in coordinating project work package activities.
  • Must be comfortable working within an ever evolving and developing business environment.
  • Work effectively with Senior Management to establish project requirements.
  • Proficient in Word, Excel, MS Project, and SharePoint
  • Be willing and able to travel to all sites as and when required by the project scope
