Job Description

We are seeking to appoint a reliable and experienced Personal Assistant to support the Headmistress to work at a leading independent school in Hammersmith.

The role


Provide high quality administrative and secretarial support to the Headmistress and keep her informed of any relevant matters concerning pupils or staff;


• Maintain the Headmistress' diary and the Deputy Head's diary, arrange meetings and appointments, avoiding clashes, anticipating and solving problems in advance and communicating well with all concerned;


• Take minutes at any other meetings with parents or staff as the Headmistress requires, as well as support effective communication by forwarding minutes and conclusions of meetings to colleagues as necessary;


• Take minutes for the weekly staff meeting;


• Deal with correspondence from parents, staff, pupils and others as directed by the Headmistress, ensuring such matters are treated with sensitivity and strict confidentiality;


• Field incoming communication to the school (emails, telephone calls, post etc) and redirect or ensure effective internal communication of messages as necessary;


• Produce documents, briefing papers, reports and presentations for meetings;


• Receive visitors to the school and provide refreshments for the Headmistress and guests;


• Manage the recruitment process in conjunction with Headmistress and the Deputy Head.


• Take responsibility all paperwork and Safeguarding checks for new staff, including agency and club staff, ensuring the school is inspection compliant, and to maintain the Single Central Register of employees, seeking guidance from the HR Manager where needed;


• To undertake Safer Recruitment training annually;


• Maintain staff files and monitor/account for staff absence using Schoolbase and iTrent (the school's online HR system);


• Assist administratively in the review of policies and other school documents;


• Assume responsibility for coordinating the final proofreading, checking, editing and electronic distribution of termly pupil reports in liaison with the Deputy Head


. • Manage the collation and submission of data for the ISI and DfE annual census supported by the Registrar;


• Organise the annual school photograph and individual portrait photographs of new staff and pupils;

The hours are 7.45am to 4.30pm, reduced hours in school holidays and 30 days annual leave.
