We're on the hunt for a dynamic HR Operations Manager who thrives on delivering top-notch HR services that could help fuel our business success! The HR Operations Manager is responsible for providing high-quality advice, professional and responsive operational HR support to the business by taking ownership of the delivery of HR support to all Chiltern colleagues including JML process/admin, benefits management, pay policies, systems management, introduction of new HRIS and data reporting. The role will be responsible for providing clear management to operational HR staff and general HR administrative resource. The role will require a strategic mindset, exceptional organisational skills, outstanding communication and a strong commitment to promoting a positive employee experience at Chiltern.

Key Accountabilities:

  1. Lead and coordinate HR operational activities : Ensure compliance, accuracy, and efficiency through clear service definition and effective management of operational HR team. Includes line management and development of 2 x HR Coordinators and 1 HRIS & Reporting Advisor
  2. Employee Lifecycle : Overall ownership of lifecycle activities and processes including JML processes, medicals, offboarding etc.
  3. HRIS Management : Maintain and optimise Chiltern’s HRIS (Human Resources Information System) to ensure data accuracy, integrity, and accessibility. Implement improvements and enhancements to streamline HR processes enabling colleagues and managers to better self-serve.
  4. Payroll and Benefits : Oversee quality of input and associated HR processes that feed into payroll processing. Responsible for ensuring Pay Policy is correctly applied. Manage our employee benefits programs (and suppliers) including enrolment, communication, and administration.
  5. Systems Management : Oversee all HR-owned systems within Chiltern, ensuring the systems are fit for purpose and accurate.
  6. Policy and Compliance : Lead on HR audit activities including assessment, process improvement and implementation. Stay up-to-date with employment laws and regulations. Internal data Retention champion for HR team.
  7. Policy & Process Development : Collaborate with HRBP team to design and manage operational HR processes to support Chiltern policies. Ensure these processes are communicated and followed consistently.
  8. HR Metrics and Reporting : Create and maintain HR analytics and reports to drive data-driven decisions and track HR department performance. Identify areas for improvement and implement relevant solutions.
  9. Budget Management : Manage the HR budget effectively, ensuring cost efficiency and adherence to financial guidelines.
  10. Project Management : Provide HR operational advice for projects as required

Personal Specification:

Education:
● Bachelor's degree in Human Resources, Business Administration, or a related field or equivalent experience
● Associate membership of CIPD (or equivalent).

Experience:
● Proven experience (4+ years) in HR operations management, with a strong understanding of HR best practices and compliance

Skills and Competencies:
● Proficiency in HRIS and payroll software (iTrent is desirable) and O365 products
● Strong analytical and problem-solving skills, with the ability to interpret HR data and metrics
● Excellent communication, interpersonal, and conflict-resolution skills.
● Detail-oriented, highly organised, and able to manage multiple priorities effectively
● Ability to work collaboratively with cross-functional teams and adapt to a rapidly changing environment.
● Cross-cover at meetings for HRBP as appropriate
● Willing to support and engage with colleagues through ‘frontline days
