Job Description

We are seeking a Project Administrator / Support Officer to work on a contract basis for a large retail organisation based in Horsham, Sussex. The candidate will be responsible for providing administrative and operational support to the IT Project Delivery team function, and will ensure that projects are executed efficiently by handling coordination, documentation, scheduling, and communication between stakeholders. This role is inside IR35 and will be a hybrid working arrangement. Initial contract until end of year (2024). Support the IT Project Team in day-to-day project management tasks. Organise and schedule project meetings, workshops, and events. Maintain project documentation (e.g., project plans, risk registers, decision logs) and ensure accuracy and accessibility for the team. Track project resources (people, equipment, and tools) and update resource allocation. Manage Contracts, Vendors and License requirements ensuring that they align with project requirements, timelines and budget. Assist in maintaining the project schedule and tracking milestones, deliverables, and deadlines. Compile and distribute regular project status reports to senior stakeholders. Help the team track project budgets, costs, and expenditures, working with the finance department as needed. Assist in preparing presentations, spreadsheets, and reports for project status reviews and/or steering committee meetings. Act as a point of contact for project team members, stakeholders, and external vendors. Maintain clear and consistent communication across project teams and stakeholders. Support adherence to project methodologies (e.g., Waterfall, Agile). Administer and maintain project management tools (e.g., MS Project, Jira, Trello, or other tools used). 2-3 years of experience in an IT Project Support role or Project Administration or Junior PM role, within an IT project environment (Essential). ~ Familiarity with IT Project management principles and methodologies (Waterfall, Agile, etc.). ~ MS Office Proficiency (Excel, PowerPoint, etc) ~ Ideally certification or training in project management (e.g., PRINCE2 Foundation, Agile).
