Your Role


We are seeking a skilled and experienced IT Project Co-Ordinator to join our PMO team. The IT Project Co-Ordinator will be responsible for assisting in the planning, execution, and completion of IT projects. The successful candidate will coordinate project tasks, schedules, to support the delivery of projects to time, cost, and quality.


Key Responsibilities:


Project Planning and Coordination

  • Assist in the development of project plans, including timelines, milestones, and resource allocation.
  • Coordinate project activities, ensuring all team members are aware of their tasks and deadlines.
  • Schedule and organise project meetings, prepare agendas, and document meeting minutes including actions.
  • Opportunity to manage small scale projects to upgrade core applications, supported by the Project Manager.


Communication and Reporting

  • Act as the primary point of contact for project team members and stakeholders.
  • Ensure effective communication across a multi-disciplined project teams and external stakeholders.
  • Contribute to regular project status reports, highlighting progress, risks, and issues where required.


Resource Management

  • Assist in identifying and allocating project resources, including personnel, equipment, and materials.
  • Monitor resource utilisation and make recommendations for adjustments as needed.


Documentation and Compliance

  • Contribute to the creation and maintenance of project documentation, including project plans, schedules, reports and RAID.
  • Ensure all project documentation is complete, accurate, and up to date.
  • Assist in ensuring project compliance with relevant regulations, standards, and policies.


Quality Assurance

  • Monitor project deliverables to ensure they meet quality standards and client expectations.
  • Assist in the implementation of quality assurance processes and practices.


Essential Skills

  • Proven experience minimum of 2 years as a Project Co-Ordinator or similar role, managing various projects from initiation to completion.
  • Strong background with knowledge of Agile methodologies, and project management tools such as ITSM Freshservice, Jira, TEAMS, Microsoft suite i.e., MS Project, Word, Excel, PowerPoint.
  • Excellent communication, and interpersonal skills, with the ability to effectively collaborate with cross-functional teams and stakeholders.
  • Demonstrated ability to coordinate projects simultaneously, prioritise tasks, and meet deadlines in a fast-paced environment.
  • Strong attention to detail skills, with the ability to highlight project risks and issues proactively to the Project Manager.
  • Prince 2 Waterfall, Prince 2 Agile, or other project management certifications are desirable but not essential.
  • Experience working in an Infrastructure environment is preferred but not required.
