Salary: Up to £24,000 per annum

Job Overview:

We are seeking a highly organized and proactive Legal Administrative Assistant to join our dynamic team. The successful candidate will provide essential administrative support to our solicitors and legal team, ensuring the smooth and efficient operation of our office. This role is perfect for someone who is detail-oriented, has excellent communication skills, and is passionate about contributing to the success of a legal practice.


Key Responsibilities:

Administrative Support:

  • Assist solicitors and legal staff with day-to-day administrative tasks.
  • Manage and organize electronic and paper filing systems, ensuring documents are filed correctly and are easily accessible.
  • Prepare, edit, and proofread legal documents, correspondence, and reports.
  • Handle confidential information with discretion and professionalism.


Client Interaction:

  • Act as the first point of contact for clients, both in person and over the phone, providing a professional and friendly service.
  • Schedule and coordinate client appointments, meetings, and conference calls.
  • Assist with client onboarding, including gathering necessary documentation and setting up client files.


Office Management:

  • Manage office supplies, ensuring stock levels are maintained and orders are placed when necessary.
  • Coordinate office maintenance and liaise with suppliers and service providers.
  • Assist with the organization of office events and meetings, including booking venues and arranging catering.


Case Management Support:

  • Maintain and update case management systems and databases.
  • Assist solicitors in the preparation and submission of court documents and filings.
  • Track deadlines and ensure timely follow-up on case-related activities.


Financial Administration:

  • Assist with billing and invoicing, including the preparation of client bills and processing of payments.
  • Maintain accurate records of financial transactions and expenses.
  • Support the accounts department with basic financial administration tasks.


Qualifications and Skills:

  • Previous experience in a legal administrative role or similar position is preferred.
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Familiarity with legal case management software is an advantage.
  • High level of attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Professional demeanour and appearance.
