Job Description

This is a fantastic opportunity for an Admin Assistant to be a part of our Macquarie Capital Coverage and Solutions team in London, on a 6 month Fixed Term Contract. It will be your responsibility to provide administrative support to the EAs and the broader team as required.

In this demanding and fast paced role, you will bring a positive, confident, and proactive approach as well as exceptional time and diary management skills.

Responsibilities:

  • Booking business travel and accommodation, visas, meeting rooms, restaurants etc
  • Compilation of out-of-pocket expenses and completion of expense claims
  • Entering contacts, client meetings and meeting notes into Salesforce
  • Regular interaction with assistants and clients (internal and external companies) including coordinating conference calls with international offices and managing different time zones
  • Arranging printing and domestic/international couriers
  • Assisting with team events, projects and offsites
  • Providing assistance when other EA's in the team are on leave.

To be successful in this role you will:

  • Have a minimum of one year experience providing support within the Professional Services industry
  • Demonstrate a proactive approach with excellent attention to detail and follow-through
  • Be resourceful and have the ability to work independently as well as within a team
  • Thrive in a dynamic business where accuracy, hard work and flexibility are imperative
  • Intermediate level Microsoft Office skills
  • Have excellent verbal and written communication skills
  • The ability to exercise appropriate judgment and discretion, especially when handling confidential information
  • Ability to work with various personality types
