Overview:

This is a key role for us at Umbilical. We are an international recruitment business, focussed on the life sciences and technical recruitment arenas.

This role is management and administration support for all aspects of the office function, and the people within it. You will be forward-thinking, positive, and have a proactive attitude towards the role.

Reporting into the Senior Management Team you will be supported and developed into a broader role should you want to.

You will need to be/have:

- EXCELLENT IT SKILLS- Microsoft Office, Excel, PowerPoint, Outlook and databases

- HIGHLY ORGANIZED, detail-oriented, and dependable

- Professional and Positive manner both in person and over the phone

- Self-starter who takes initiatives and requires little supervision

- Discretion when handling and disposing of confidential information

- Excellent communication skills, both verbal and written

Responsibilities include:

Recruitment Administration:

  • Manage monthly contractor payroll and invoicing process
  • Set-up of new contractors including documentation
  • Ownership & distribution of letters and documentation
  • Support Senior Management Team
  • Support internal recruitment
  • Maintain and update the holiday tracking/ HR system and sick forms
  • MI production
  • Assist with monthly payroll commissions
  • Maintaining an efficient network filing systems (employee docs etc.)
  • Manage on-boarding of new starters
  • Administer contracts and registration docs.to new starters
  • Setting up IT, desk and induction programs for new starters
  • Managing and tracking all IT passwords for the company and personnel
  • Apply and maintain the firm's policies and procedures, inc. GDPR
  • Administer client Terms of Business
  • Produce Management Information for the firm’s business activity
  • Produce template Powerpoint presentations

Office Management:

  • Provide a professional, first class service to all candidates and clients calling / visiting Umbilical
  • Ensure the office runs smoothly and is kept tidy and to a presentable standard at all times
  • Answer and redirect calls appropriately
  • Monitor and check stationary levels and ensure stationary is well stocked (this includes printer, toner, paper, and other office equipment)
  • Manage suppliers including stock control, replenishing stock, utilities and any other services provided to the office.
  • Ensure all Umbilical branded goods are in keeping with company requirements and kept well stocked
  • Arrange company social events including lunches and company holidays
  • Arrange travel for consultants when needed
  • Update and maintain organisation charts and phone lists
