Office Manager & Research Support - Temporary Maternity Cover for fixed 12-month term Maru is seeking an Office Manager & Research Support to cover a Temporary Maternity leave. This role is critical in ensuring the smooth and efficient operation of the office and requires a proactive, collaborative and adaptable individual capable of managing diverse tasks to support the overall success of the organization. In this role you oversee day-to-day administrative tasks, including handling correspondence, managing suppliers, coordinating meetings, and completing routine administration for our research projects. This role is a Temporary Maternity Cover for fixed 12-month term (from November 2024) and is a flexible role that can be part time with a minimum of 25 hours per week or full-time for the right candidate. We require someone that can work on a hybrid schedule and can be in our Southampton office at least two days each week. Salary range for this role is £27,000 - £30,000 GBP (Pro-rata). Responsibilities: Over-see day to day administrative tasks, including handling correspondence, managing schedules, and coordinating meetings Maintain office supplies, equipment, and facilities to ensure a well-functioning work environment Oversee office budget and expenditures, maintaining accurate financial records Implement and optimize office procedures and workflows for maximum efficiency Communication and coordination -Serve as a liaison between different departments, fostering effective communication and collaboration and serve as a point of contact for employees, clients, and vendors Manage incoming and outgoing communications, including emails, phone calls, and other correspondence. Support the organisation of office events, team-building activities, and staff meetings Support compliance with workplace policies and regulations Facility and safety oversight – Coordinate with maintenance and cleaning services to maintain and ensure the office environment is clean, safe, and conducive to productivity. Vendor and supplier relations Project Management – Plan and execute office projects, ensuring they are completed on time and within budget and monitor progress and provide updates to stakeholders Problem solving and Decision-making – make informed decisions to improve office processes and enhance overall efficiency Continuous improvement - Identify opportunities for process improvements and implement changes.
