Job Description

Our client, a leading Artist Management Agency is looking for a brilliant PA / Office Manager / Accounts Assistant to be the true right hand to the Director of the business. We are looking for someone who is excited about shaping the role and has experience working in a fast-paced environment where no two days will be the same. It is essential the individual is organised, agile, robust and can adapt to everchanging situations.

With plenty of scope to get involved with the running of the agency, it is imperative the splendid candidate can work autonomously whilst also working as part of a wider team; the candidate will be supporting a team of producers and agents. The role will also encompass some Accounts duties such as assisting with the business accounts and producing the weekly reports.

Responsibilities:

Personal Assistant to Director:

  • Ensure Director’s schedule is organised in a manageable way, such as day to day meetings, occasional personal appointments, carving out time throughout the season to connect with all the artists, and that there is time in the week to connect with agents and producers
  • Responding to emails on Director’s behalf, ensuring that all requested tasks are handled quickly, in good order and on time

Office Manager:

  • Overseeing the running of the day-to-day office activities
  • Maintain a presentable and tidy office
  • Housekeeping, ensuring stationery and kitchen orders take place
  • Liaising with IT contacts
  • Ensure onboarding offboarding takes place
  • Managing post
  • Artist and external client meetings are organised and attended to

Accounts Assistant:

  • Process supplier and Artist invoices
  • Maintain accurate and up to date Supplier/Artist details and account records
  • Reconciling supplier account vs. statements
  • Supplier payments - interim & month end
  • Preparing the weekly Debtors Report
  • Maintain accurate and up to date reconciled balances
  • Maintain finance control and processes and integration with other business systems
  • Assisting with internal and external audit process

What we are looking for:

  • Confident and experienced in the PA / EA / Operations role Accounting / bookkeeping experience
  • Excellent verbal and written communication skills
  • Strong organisational skills and ability to prioritise tasks to meet tight deadlines in a fast-paced environment
  • Calm with the ability to work well under pressure and manage stressful situations with ease
  • Flexible & entrepreneurial approach to all work
  • A very 'hands-on' approach and able to think outside the box
  • Proactive problem solver
  • Ability to multi-task, prioritise, be proactive and demonstrate self-initiative
  • Sound knowledge of Microsoft Office
