The Opportunity

VHR is looking for a Personal Assistant & Office Manager to join our international technical recruitment company based in central London (SE16).

Reporting directly to the CEO, this role will provide personal support in a close working relationship with the CEO and COO. The PA serves as a focal point of contact for internal and external communications into the CEO / COO and on all matters pertaining to VHR’s London Office and property portfolio.

The VHR group is a multi-award winning technical recruitment business, headquartered in London, supplying contract and permanent technical and professional staff to our clients within the Aerospace & Aviation, F1 & Automotive, Civils & Infrastructure, and Marine sectors.

VHR currently employs 65 members of staff across its 8 offices in London, Birmingham, Manchester, Abu Dhabi, Bologna, Prague, Leipzig and Nicosia and generates a turnover of over £40M annually.


The Company’s medium-term aims are to grow to 90+ staff and £85M annual turnover.

PA responsibilities:


  • Diary management with a structured and methodical approach to managing time
  • Ensuring preparation for meetings and that meeting packs are prepared in advance
  • Keeping a forward agenda to ensure that all key objectives of the Board are being discussed and reviewed chasing when necessary.
  • Be an excellent gatekeeper; protect and prioritise the CEO’s time in line with priorities acting as the first port of call for all calls, emails and diary requests relating to the CEO, screening phone calls, enquiries and requests, and handling them when appropriate
  • Supporting the CEO with personal administration
  • Approving invoices & expenses
  • Occasionally organising corporate hospitality for visitors and clients
  • Manage domestic and international travel arrangements including booking flights, accommodation, transportation, and other travel-related arrangements.
  • Management of VHR owned properties including rental agreements, staff usage & arranging cleaning/maintenance.


Office Manager responsibilities:


  • Making sure that the office is kept in a tidy presentable manner, arranging for necessary repairs/maintenance.
  • Management of external vendors and suppliers including but limited to the supply of office supplies & office maintenance.
  • As required visits to the Foreign & Commonwealth Office and foreign embassies around London for document legalisation purposes.


Qualifications & Skills


  • Proven previous experience of working as a PA at senior level
  • Possess excellent communication skills (both written and spoken)
  • Be well-organised, with a good eye for detail and the ability to prioritise tasks
  • Proven organisational skills - ability to prioritise multiple tasks
  • Proactive approach to work, pre-empting problems before they occur
  • Previous experience with Monday.com is desired but not essential
  • Proficient in Microsoft office
