We have an exciting new opportunity for a Project Administrator to join our Construction team based on one of our customer sites on the Hertfordshire/Essex border.


KEY ROLE RESPONSIBILITES:

  • To ensure the delivery of JCA services is of the highest standard and that the company values are observed throughout, ensuring sustainability, value for money and efficiency.
  • To undertake the production, maintenance, control, issuing and receiving of project documentation throughout the life cycle of the project and ensure this is correctly recorded, filed and saved in line with company procedures.
  • To support the project team as required in the function of the contract in regards, meetings, ordering office supplies, minutes of meetings etc and support to the projects team.


JOB SPECIFICS

  • Coordinating project administration, including organising meetings, monitoring key dates and activities relating to the successful delivery of the project. 
  • Administration, organisation and co-ordination relating to business-critical documentation, including but not limited to the following: drawings, project information, O & M documents, PQQ documents, meeting minutes/reports, site logbooks.
  • General administration including meeting minutes, compiling and updating project reports, progressing invoices, updating and monitoring of site registers.
  • Maintain familiarity with the Company and projects being undertaken so an enquiry can be directed to the most appropriate member of staff promptly.
  • Manage the administration and maintenance of company records databases accurately and efficiently.
  • File and archive information that ensures easy retrieval of information.
  • Assist with basic reports by undertaking basic analysis and research.
  • Type up information as requested accurately and efficiently.
  • Maintain confidentiality and exercise discretion in relation to all matters and information concerning the Company and clients.
  • Ordering all site consumables, maintaining spreadsheet for consumables and ensuring booked to correct package and monitoring of consumable budget.
  • Supporting the Contract Manager in assisting with letters of contracts for site agreement.
  • Typing of meeting minutes.
  • Maintaining the registers for all training for Construction operatives.
  • Preparing site signage and labelling requirements as requested.
  • Organising all site stationery/PPE/Consumable requirements for construction projects.
  • Assisting the Safety Officers during inspections in knowledge of the health and safety folders.
  • As and when required/directed, prepare a full enquiry pack, collating all subcontractor tender information and issue to the supply chain.
  • As and when required/directed, compile draft subcontract orders in liaison with the procurement department and the contract management team on the project.
  • Preparing and organising and ensuring up to date site folders, both hard copy and electronic versions.
  • Issue documentation to both internal and external stakeholders and record issued as required.
  • Receive documentation from both internal and external stakeholders and ensure recorded as received and appropriately distributed/stored/filed.
  • Ensure Health and safety folder is up to date and all required information is available for review.
  • Scheduling and attending meetings and taking minutes as required and issuing.
  • Booking in of staff/deliveries and visitors as required (project specific).
  • Recording and filing all delivery notes as received .
  • Recording and filing all waster transfer notices and other environmental requirements.
  • Managing online systems such as diaries, websites and databases.
  • Making sure office printers and copiers are working as they should be.
  • Arranging travel and accommodation.
  • Submitting technical documentation for approval.
  • Makes sure that controlled copies of latest approved documents and drawings are distributed internally and externally and available (Clients and Suppliers).
  • Monitor technical documents review and approval in accordance with agreed schedule.
  • Produce internal and external (Clients and Suppliers) over-due reports.
  • Ensuring the use of standardised forms and templates.


QUALIFICATIONS AND EXPERIENCE

  • Minimum GCSE Maths and English grade 4 (C) or their equivalent
  • Previous office administration experience- covering all aspects of office duties from handling mail, invoices and stock control to preparing office documents.
  • Business and administration - From basic administrative tasks to higher-level support skills, communication, providing reception services
  • IT skills: proficient in Microsoft to intermediate level.
  • Highly organised, with strong attention to detail and proven ability to handle multiple tasks simultaneously. 
  • Dependable, flexible, self-motivated and uses initiative in order to effectively solve problems.
  • Good communication both verbally & written.
  • Ability to work well within a team as well as independently.
