Description
The Quality Assurance Officer role is an entry-level Compliance position within the John Charcol Compliance team. The role will support the Compliance Manager with oversight activities relating to adviser Training & Competence (T&C) and provide assurance to the business that its Systems & Controls continue to demonstrate adherence with regulatory obligations. Specific relevance to file quality assurance tasks and maintaining accurate and up-to-date Compliance documentation and MI.
Measures of Performance:
- Compliance documents are kept accurately and timely including relevant spreadsheets, registers and T&C records.
- All trends identified through quality assurance activity are reported to the Compliance Manager timely and in line with the requirements of the T&C Scheme tracking remedial actions to closure.
- Breaches of policy are alleviated through proactive monitoring of risks and trends, reporting non-adherence in line with internal policy requirements.
- Assist the Compliance Manager with timely and accurate monthly reporting to the board.
- Actively and positively contribute to the Compliance team including ongoing development of internal policies and procedures.
- GDPR obligation timescales are met in line with regulatory requirements and internal procedures.
- Develop and maintain a good understanding of regulatory requirements, monitoring techniques and their application and applying this to ensure effective file checking and record keeping standards.
- Demonstrating a high standard of written/communication with positive feedback to/from advisers to support quality improvements.
Key accountabilities:
- Undertake FLoD adviser file monitoring activities required by the role.
- Facilitate remedial activity on quality issues identified through effective feedback, monitoring remedial actions to completion.
- Consistently meet the file review standards within prescribed timescales required under the T&C policy.
- Sample testing in response to identified risks and quality concerns.
- Assisting the Compliance Manager with monthly MI/data for timely board reporting.
- Generate best practice and provide feedback to the business to help improve file quality and record keeping standards.
- Supporting with general Compliance related queries and administrative tasks.
- Actively and positively contribute to the Compliance team.
- Proactively develop and maintain a strong core Compliance knowledge and keep up to date with key regulatory changes.
- To undertake other relevant tasks as required by the Compliance Manager.
Key Knowledge, Skills, Experience required:
- Minimum of 2 years’ experience within a regulated or financial services environment.
- Knowledge of the regulatory environment in the UK, and in particular FCA regulation.
- Good IT skills in a range of relevant applications (Word, PowerPoint, Excel, Outlook).
- Good organisational skills, detail-oriented and able to work at pace.
- Previous file review experience preferably within the mortgage industry.
- Working knowledge of MCOB/ICOB regulations.
- Familiarity of Quality Monitoring Standards and/or practical experience.
- Strong organisational skills, an ability to work at pace and in line with prescribed business targets.
- Ability to work without supervision.
- Ability to work collaboratively within a team.
- High standard of attention to detail and record keeping.
- Effective communicator with good written and oral communication skills.
- Adopts a proactive approach and seeks out solutions.
- Flexible and supportive approach to working practices.
