Job Description

The post holder will be responsible for supporting the senior management team in Cluster 3 of NMSK to ensure the effective management of outpatient, diagnostic and elective performance. The post holder will oversee teams to ensure high quality scheduling of activity within the specialties, including proactive patient-level management of RTT and DM01 pathways. Working closely with a range of colleagues from all disciplines, the post holder will plan and co-ordinate resources to ensure achievement of access and service targets in line with Trust objectives.

Main duties of the job

Work with the operational management team and clinical teams to assist in the delivery of performance targets including waiting times, patient experience and activity. In conjunction with the operational management team, oversee on a day-to-day basis the operational issues within the Cluster in relation to delivery of services, reporting, and problem solving.

Support the General Manager and Performance and Operations Manager to ensure that Cluster 3 delivers on its agreed performance objectives. To monitor relevant performance measures, set-out within the access policy and Division business plan, initiating further data analysis and improvement work as required to achieve clinical, service and Trust objectives.

To work closely with teams, to ensure inpatient and outpatient clinic capacity is fully and flexibly utilised to treat patients, to ensure both clinical requirements and Trust service objectives are achieved. To undertake and oversee work to improve performance and service delivery, working with the Trust IM& T and Performance Improvement Teams as required.

Provide effective leadership and management support to all staff within the areas of responsibility, ensuring delegation of appropriate responsibility, consistent with effective decision-making whist retaining overall responsibility.

Job responsibilities

Operational Management Support
  • Work with the operational management team and clinical teams to assist in the delivery of performance targets including waiting times, patient experience and activity.
  • In conjunction with the operational management team, oversee on a day-to-day basis the operational issues within the Cluster in relation to delivery of services, reporting, and problem solving.
  • Support the General Manager and Performance and Operations Manager to ensure that Cluster 3 delivers on its agreed performance objectives.
  • To monitor relevant performance measures, set-out within the access policy and Division business plan, initiating further data analysis and improvement work as required to achieve clinical, service and Trust objectives.
  • To work closely with clinical and administrative teams, to ensure inpatient and outpatient clinic capacity is fully and flexibly utilised to treat patients, to ensure both clinical requirements and Trust service objectives are achieved.
  • To undertake and oversee work to improve performance and service delivery, working with the Trust IM& T and Performance Improvement Teams as required, to make full use of available information, tools and methodologies
  • Have specific responsibility for operational issues and service developments projects.
  • Support the Performance and Operations Manager and clinicians to deliver service re-design projects that deliver improved clinical outcomes for patients, reduced waiting times and more efficient use of resources.
  • Lead on allocated complaints, drafting responses where applicable and ensuring lessons learned are embedded.
  • Involvement in the daily operational issues including management of cancelling patients.
  • To organise waiting list initiatives where necessary to meet targets.
  • Engage clinical, managerial and administrative staff in patients access issues, improving access to services through implementation of best practice.

Leadership
  • Provide effective leadership and management support to all staff within the areas of responsibility, ensuring delegation of appropriate responsibility, consistent with effective decision-making whist retaining overall responsibility.
  • In collaboration with the Performance and Operations Manager and General Manager, support the recruitment, selection, induction, training and retention of staff, ensuring compliance with Equal Opportunities and Trust procedures.
  • Be conversant with all activities within the areas of responsibility and ensure adequate cover is provided in times of absence.
  • Ensure all staff are kept informed of relevant Divisional and Trust wide issues
  • Assist in the management of disciplinary and grievance matters in accordance with Trust guidelines.
  • To be able to identify poor performance across administrative teams and to be able to effectively resolve problems or situations that may arise.

Information/data gathering and presentation
  • Request and provide information required by the Cluster management team to assist with ensuring delivery of performance targets, including waiting times.
  • Request and provide information required by the divisional management team to assist with the timely response of complaints.
  • Prepare statistical information and presentations using all Microsoft Office software.
  • Produce and maintain databases to capture information.

Additional duties
  • To work autonomously to manage own workload and delegate where appropriate to ensure all tasks are delivered as per time constraints required by the service.
  • To promote a safe working environment in respect of Health and Safety and welfare of staff, patients and visitors.
