Role Summary:

Recruitment Administrator:

To manage and administer the recruitment process for the Seasonal Flu Programme. This is a high volume recruitment campaign to support VUK in the roll out of the flu vaccines in schools across the UK.

As a key member of the team you will deliver best practice by creating processes and operations that deliver outstanding and consistent hiring experience. You will also measure the effectiveness and delivery of the programme objectives in line with the recruitment plan.

HR Administrator:

Support with the day to day running of the operational HR administration to ensure an effective and efficient support service is offered at all times. They will assist in providing a wide range of HR administration support and advice to managers and employees across all locations (approx. 300 employees), including recruitment, changes to terms and conditions of employment, absence management, and HR best practices while facilitating a positive relationship between employees and management.

Main Responsibilities:

Recruitment:-

  • Manage the full recruitment process providing a professional service to both Management and Candidates
  • Ensure a positive candidate experience throughout the whole recruitment process
  • To work closely with HR Team, Clinical Director and Managers to fully understand the recruitment objectives, requirements and expectations
  • Design and implement recruitment processes, programs and tools in order create an outstanding hiring experience that’s efficient
  • Developing a culture of continuous improvement within resource management processes driving the use of best practice
  • Regularly review recruitment process to measure effectiveness and delivery of the objectives in line with the recruitment plan
  • Provide coaching to hiring managers through the process to ensure they are equipped with necessary skills to select, interview and appoint
  • Act as main point of contact during the process ensuring there is a clear and concise communication both internally and externally
  • Ensure “Best Practice” is shared throughout the team to improve and exceed overall effectiveness, performance and service standards.
  • Assist the Clinical Director and Managers in screening Applicants to ensure they meet skillset required for the role
  • Support the Clinical Director and Managers in setting up and carrying out interviews
  • Implementation of an effective applicant tracking system to monitor and track all candidates through each stage of the recruitment lifecycle
  • Create and post advertisements on Trac to ensure we are attracting the right candidates
  • Proactively review the adverts and job boards we are using to ensure we are generating applications.
  • Ensure all new starter paperwork and employment checks are carried out in a timely manner
  • Issue offer letters, contracts and other new starter documents in a timely manner
  • Set up DBS promptly to ensure clearance before the start date
  • Carry out DBS verification process in line with policy criteria
  • Ensure the company is compliant in obtaining all necessary documents such as qualification certificates, NMC, Right to Work and undertaking references
  • Ensure all other new starter paperwork is returned promptly
  • Create employee profile on HR Database
  • Ensure completion of all mandatory training
  • Ensure payroll have all the necessary paperwork before commencement
  • Assist the managers with induction and onboarding of all new employees
  • At the end of the Recruitment Programme review the processes and

HR:-

  • Provide support and advice to managers and employees including:
    • Interpretation of HR policies and procedures and terms and conditions of employment,
    • Starters and Leavers,
    • Changes to terms and conditions of employment,,
    • Absence management,
    • Maternity and parental leave,
    • Flexible working applications,
  • Various HR related letters such as Contract variation, Maternity/Paternity leave/Shared Parental Leave, probation, resignation, reference requests
  • Support Head of HR with discipline and grievance process; typing relevant letters, minute taking and typing of minutes.
  • Maintain and promote good employee relations and ensure employee relations issues are dealt with at an early stage
  • Reviewing Policies to ensure they are relevant and up to date
  • Absence tracking and providing information to management team.
    • Organise and/or conduct exit interviews ensuring any issues/concerns are followed up on
    • Manage the HR Admin inbox - respond to emails in a timely manner and assign to appropriate person
    • Ensure DBS renewals are undertaken as and when required
    • Update and maintain HR records in Bright HR ensuring accuracy at all times
    • Auditing personnel files and ensuring site compliance for necessary paperwork
    • Deal with telephone enquiries in relation to HR
    • Project work as and when required by the business
