Job summary We are looking for friendly, professional and enthusiastic band 3 PA to join our well-established SACT team. The post holder will be responsible for facilitating the efficient and effective day-today running of administration support to the SACT Management team, assisting the team with a variety of administration and clerical tasks. This will include keeping managing diaries, arranging meetings and minute taking. The post-holder must have the ability to prioritise workload effectively and be able to communicate to a wide range of audiences as well as provide cover to and support other areas within the Networked Services Division as required Main duties of the job The main purpose of the role is to facilitate the efficient running of the administration support to the SACT Management team. The post holder will assist the team with administration and clerical tasks such as diary management, arranging meetings and minute taking. All aspects of administration will be conducted according to Standard Operating Procedures and Trust policies. Job description Job responsibilities DUTIES AND RESPONSIBILITIES Schedules meetings to fit with other standing diary commitments Attending relevant SACT and divisional level meetings to take minutes and prepare documents appropriately for distribution both prior to and post these meetings Organise and plan diaries Responsible for effective communication with other departments and external agencies Deal professionally with all telephone calls from relatives and patients which could be emotional and of a sensitive nature Always maintain patient confidentiality Manage unpredictable patterns of working due to variable meeting times Ensure that office supplies are adequate and maintained and items are ordered for the SACT treatment floor when requested Comply with audit requests for information Provide cover for colleagues across the division in times of sickness and annual leave Demonstrate the agreed set of values and accountable for own attitude and behaviour Person Specification Qualifications Essential Good standard of education to GCSE level Desirable NVQ level 2, equivalent qualification or experience Experience Essential Experience of administrative or clerical work Desirable Experience of working within a health care system Skills Essential Excellent communication skills Excellent telephone manner Minute taking Computer literate - proficient in Microsoft Office programmes Ability to prioritise workload Desirable Good interpersonal skills Good keyboard/typing skills Knowledge Essential Good understanding of numeracy Desirable Minute taking/administrative related course(s) or equivalent experience Other Essential Work under pressure Self-motivated.
