Exciting Opportunity: Secretarial Manager in Scotland


We are seeking a dynamic and experienced Secretarial Manager to lead our secretarial function in Scotland. This pivotal role involves working closely with the Groups to ensure effective systems and processes are in place in order to deliver outstanding client service. The Secretarial Services Manager will also provide PA support to a small number of partners or fee earners.


Key Responsibilities:


• Develop and implement best practice processes through regular review to ensure Secretarial Services is operating as effectively as possible

• Identify service improvements, liaising with key stakeholders to resolve issues and facilitate continuous improvement

• Act as a key contact for the Heads of Groups, Exec teams, Partners and fee earner groups

• Key liaison point for Office Services, working collaboratively to ensure administrative support is aligned and delivering a high quality service

• Identify and maintain appropriate level of resource, ensuring the needs of the Groups are met

• Execution of ongoing performance management, including leading check ins, conducting 1:1s, and agreeing objectives for the teams

• Identify training and development needs and facilitate relevant support needed

• Recruitment and selection

• Contribute to firmwide Secretarial Services projects, working with key Business Services stakeholders as required

• Adhere to the firm's risk and compliance policies and procedures and raises any issues or queries promptly with the relevant Partner and / or Risk and Compliance


Ideal Candidate:


  • Proven experience in a secretarial management role, ideally within a legal or professional services environment.
  • Strong leadership and communication skills.
  • Ability to identify and implement process improvements.
  • Experience in performance management and team development.
