The Sr. Manager of Office Administration (“OA”) is responsible for coordinating administrative support to all Lawyers and professional staff, where appropriate. Working closely with the Managing Director of Administration, Europe & Asia, the Co-Chairs of the London Office and other firm Directors and Managers to manage firm operations and execute firm initiatives at a local level. Collaborating closely with the Sr. Facilities Manager to ensure the running of the London & Cambridge offices meets need.

What You Will Do:-

  • Responsible for the overall management of the UK secretaries. Ensuring the secretaries are operating at peak efficiency and providing the highest levels of service to our Partners, Associates, Directors and clients. Working with the Managing Director of Administration, Europe & Asia, and the Talent team on strategic initiatives relating to secretarial training, utilisation, efficiency and performance management. 
  • Act as the primary contact for Partner and Associate queries to ensure the appropriate service is delivered and expectations are managed and met and building strong and trusted relationships. Uphold the highest standards of discretion and confidentiality in all interactions ensure sensitive information is securely managed and shared only a need to know basis.
  • Partners with the Talent team and appropriate leaders on recruitment, orientation, onboarding, performance management, and staff professional development, mentoring and coaching for team members.
  • Works with Finance to ensure compliance with firm accounting, billing and timekeeping practices, ensuring the Secretarial team are fully trained and abreast of any changes.
  • Partnering with members of the global Office Administration team on global initiatives, including but not limited to the Secretarial Advisory Board.
  • Working closely with the records management team and secretaries to ensure that the service is operating as needed. Partnering with the Sr. Manager, Facilities, to ensure the Williams Lea relationship is managed. Build and maintain a trusted relationship, keeping the Managing Director of Administration, Europe & Asia updated on any concerns, queries, updates or changes.
  • Coordinates with all firm administrative departments to assist with the development and implementation of firm-wide policies and procedures relating to Firm Administrative Operations, and, works with the departments to implement these policies.
  • Works with the Managing Director of Administration, Europe & Asia, the Sr. Manager, Facilities and the Office Co-Chairs to establish the office annual budget and manage costs to budget in relation to the Office Social budgets.
  • Sets a standard for citizenship and community involvement, including taking responsibility for understanding the firm’s philosophy and strategy, and facilitating support for and cooperation with firm initiatives. Supporting the relevant Partner/s on the PCC Committee activities – being responsible for, and driving the pro bono, community service and charity workstreams.
  • Partners with the Events team and appropriate leaders on the planning of social, engagement and community events for the London office.
  • Foster a collaborative and supportive work environment that upholds the firms values and culture.

Who You Are:-

  • 8-10 years experience working within professional services preferably legal services
  • Bachelor’s degree with 3+ years management experience, including secretarial management
  • Previous team management experience
  • A strong understanding of Business Support/ PA/ Secretarial/ Administration functions
  • Excellent interpersonal skills and ability to build strong working relationships
  • Stakeholder management experience
  • A service delivery focused approach
  • Ability to work independently and proactively. 
  • Excellent judgment and business acumen. 
  • Exhibits diplomacy and tact in all situations.
  • Ability to manage multiple projects; excellent project management skills.
  • Able to navigate a highly matrixed organization.
  • Working knowledge of Word, Outlook and Excel. Ability to learn and utilise additional programs.
