The company

FI Facilities Management who are part of Acepark Group are looking to recruit a Site Facilities & Building Manager who will have as main focus to maintain high level Customer Service standards for our clients and visitors, ensuring everyone’s customer journey is great experience every time. The right candidate will join us in a full time, permanent basis and will be delivering a building management function as directed by the Regional Facilities Manager and relevant Department Head in support of the landlord and their tenants.

As a Site Facilities & Building manager you will be responsible for the daily operation of the site’s statutory legislation, health and safety and best practices. With delegated responsibilities for daily, weekly and monthly activities, including general administration, client support and maintaining relationships with contractors and suppliers with possible future team management.


The main aim will be to coordinate and implement effective planning, operational and contract administration procedures leading to the provision of high quality, cost effective projects and services on site.

Duties and Responsibilities

Customer Management

  • To maintain high level of Customer Service standards for our clients and visitors, ensuring everyone’s customer journey is great experience every time.
  • Ensuring reception and all communal areas are welcoming, clean, and tidy, safe and professional at all times.
  • Ensuring all meeting/training rooms are at a high standard in all areas of the provision, the AV equipment is working and be ready to assist clients/customers.
  • To provide local support and to function as the prime interface for service delivery and to ensure business continuity and customer satisfaction to tenants and the landlord.
  • To ensure that customer’s requests and calls initiated, are responded to in an effective and professional manner and to withing agreed service levels.
  • Establish and maintain good occupant relationships and communications through personal contact and regular meetings with tenants, Asset Managers, Property Managers and Regional Facilities Manager.
  • Function as a link between the landlord and clients.
  • Ensure any prospective tenants and enquiries are acted upon and forwarded to the Asset Manager. Assist in or undertake potential viewings on site.


Self-Storage Management

  • Be responsible for the internal self-storage facility and the on-site container rentals.
  • Facilitate any viewings that are pre booked and nay walk0in appointments.
  • Work with the Head of Operations to provide up to date occupancy information.
  • Be responsible for the up sell of additional items such as padlocks and boxes.
  • Be responsible for keeping the self-storage fit our clean, tidy and secure.
  • Do regular daily spot checks on storage units.
  • Monitor CCTV on a daily basis.


Service Delivery

  • Responsible for the control of suppliers, contractors, site resources and sub-contracted services.
  • Providing an onsite contact for all visiting contractors and service providers.
  • Daily control of outsourced ‘hard and soft’ support contracts e.g, access control, cleaning, mechanical and electrical services, fire protection, lifts, building repairs, security, and grounds maintenance.
  • Ensure general housekeeping checks to all floors, kitchens and toilets are conducted to maintain a high level of cleanliness and ensure that full stocked kitchens and break out areas to include all health and safety elements daily, weekly, monthly.
  • Co-ordination of all on-site external suppliers, contractors, sub-contracted services.
  • To ensure that all work undertaken complies with the Health and Safety requirements.


Project Management

  • To oversee and coordinate the activities of external contractors to ensure delivery of required actions safely and to time and to budget and to be responsible for service delivery.


Emergency Procedures

  • To maintain fire alarm, firefighting and emergency lighting systems in operational condition and report any defects, and to control the emergency evacuation procedure for the site.
  • Prepared to support the site out of hours when required.


Health & Safety

  • Collation, Review and approval of contractors Risk Assessments and Method Statements before any works commence on site. Ongoing monitoring of on-site contractors and control of permit to work.
  • Responsible for ensuring that the Building File, Health & Safety File are kept up to date.


Building & Engineering Maintenance

  • To Liaise with external contractors regarding building maintenance and adopt overall responsibility for the co-ordination of maintenance and repair services.
  • To be prepared to complete first fix or initial response to maintenance issues as they arise and make safe.
  • Conduct weekly fire alarm/intruder alarm checks on all sub systems within the landlords and tenanted areas and record results.
  • Carry out monthly emergency lighting ‘flick’ testing.
  • Conduct Water Temperature Checks.


Security

  • Monitoring and management of CCTV and security systems.
  • Updating access control system with staff leavers and new starter information to ensure the database is maintained.
  • Monitoring access on an off the site.


Finance

  • Check delivery notes against supplier invoices.
  • Supporting in obtaining quotes for purchasing and budgetary control.
  • Maintain margins and control expenses as detailed in budgets and business plans.


Personal Specification

  • Customer Service – identifies accurately the needs of internal and external customers and exceed the customers’ expectations by delivering a high-quality service.

Qualifications and Experience

Essential

  • A minimum of 2 years Facilities background in both ‘hard and soft’ service provision.
  • Customer Service and FOH experience essential.
  • H & S qualification – minimum IOSH
  • Prepared to travel and support the site out of hours when required.
