About Our Client

My client is an independant organisation and regulator within a limb of the health care division

Job Description

Providing an efficient and effective administrative support service to the team through the maintenance of proper files and records.
* Ensuring that the team's database and management spreadsheets are properly managed and updated.
* Collating performance-related data and contributing to the delivery and reporting of this information in a useful format.
* Acting as a first point of contact for written and telephone enquiries made of the team's Lawyers/Paralegals by analysing and interpreting incoming queries and requests and providing information/advice where appropriate.
* Ensuring the timely creation and distribution of purchase orders and dealing with billing queries.
* Undertaking project work and other research as required by the team at the request of the Head of ILPS
* Supporting meetings including making arrangements, preparing agenda, collating and checking the accuracy of the paperwork and minute taking.
* Ensuring that all communication receives a timely and appropriate response.
* Participating in the development and maintenance of administrative systems within the team according to its aims and objectives.
* Assisting proactively with the work of the department, as agreed with the Head of ILPS
* Carrying out any other task as reasonably required by the organisation.

The Successful Applicant

Ability to effectively manage a team of legal administrators including day to day performance and supporting their personal and professional development
* Ability to provide a high quality of service to a variety of stakeholders, including members of the public.
* Strong team working skills including an ability to handle competing priorities, plan and organise workload, and manage own time and the time of direct reports effectively.
* Strong ICT skills including experience of maintaining payments systems, databases, MS Office products and other records.
* Ability to communicate effectively and confidently with internal and external stakeholders including other solicitors and statutory agencies, both verbally and in writing.
* Analytical and problem-solving skills.
* A positive, "can do" attitude to all tasks and challenges set.
* Demonstrable commitment to ensuring quality and accuracy of work.
* Ability to take the initiative in suggesting and implementing new and more efficient ways of working.
* Ability to ensure compliance with policies and statutory obligations with regard to data protection, equalities and diversity, health and safety, and employment.
