Our esteemed veterinary practice is seeking a skilled and motivated Practice Administrator to oversee the administrative functions of our clinic.

Position: Veterinary Practice Administrator

Location: Higham Ferrers, Rushden, Northants

Contract: Permanent

Hours: 40hrs/week

At Higham Vets, we are committed to providing exceptional care to pets and their owners. Our team of 18 veterinarians and support staff are dedicated to promoting the health and well-being of animals through comprehensive veterinary services.

This Role:

You will report to the MD working closely with him to develop our core strength in Customer Service and rolling it out across our existing and future clinics. We have significant funding allowing us to:

  • Create an inpatients reception - starting Jul24
  • Build a new hospital - starting 2026
  • Buy 2 existing clinics - Oct2024

Your Responsibilities Include:

Customer Service Tasks - 50% of your time

  • Manage the day-to-day operations of the veterinary practice, including welcoming clients by phone, email, social media and in person
  • Liaise with vets and nurses to provide accurate advice to clients
  • Set and maintain customer service standards across the team
  • Handle premises issues
  • Train and manage junior receptionists

Practice Administration Management - 40% of your time

  • Handle administrative tasks such as maintaining patient records, sending booster reminders and ordering stock.
  • Implement and maintain office policies and procedures to ensure compliance with regulatory standards and best practices.
  • Support staff training and development initiatives to promote a positive work environment and enhance team performance.
  • Manage our phone system to improve client experiences and practice efficiency
  • Create monthly management reports gathering data from multiple sources including our Practice Management System
  • Manage basic finances including recording bills and managing debtors
  • Facilities management - building maintenance, decoration and keeping a tidy office
  • Statutory duties including being the health & safety officer, data officer and fire officer

Projects - 10%

This is where we see the future of this role as you reduce Customer Service Tasks to 10% and Projects to 50% as the business grows and you are ready for more responsibility. Such projects may include:

  • P&L responsibility for a site/sites
  • Creating and maintaining hospital protocols and standards
  • Creating and implementing customer delight training programs at existing and acquired clinics
  • Implementing new products such as payment plans
  • Designing and maintaining a new website

Are We Describing You?

  • Previous experience in a veterinary practice is highly desirable or a at least 18 months experience in a similar administrative role.
  • Strong organisational and multitasking skills, with the ability to prioritise tasks and meet deadlines in a fast-paced environment.
  • Excellent communication and interpersonal skills, with a customer service-oriented approach.
  • Proficiency in computer software applications, including veterinary practice management software and Microsoft Office suite.
  • Knowledge of veterinary terminology and procedures is a plus.
  • A passion for animal welfare and a commitment to providing high-quality care to pets and their owners.
  • Are you 100% fluent in written and spoken English, with strong spelling and grammar?
  • Do you possess a high degree of attention to detail?
  • Are you self-sufficient, persistent, team player, whos happy to muck in with whatever is going on / needed at the time?
  • Can you handle the documentation of processes and policies and coordinate projects such as launch of a new service or department?
  • Do you exude positivity, energy and passion while being approachable, a good listener and a clear communicator?
