JOB OVERVIEW

We are seeking a highly motivated and detail-oriented Wholesale Operations Assistant to join our dynamic department. The ideal candidate will be responsible for managing global wholesale customer orders, including distributors, ensuring accuracy and timely processing times. The role requires a proactive and solution-focused mindset to ensure the execution of wholesale orders and fulfilment success, alongside excellent customer service. The individual must have proven success in building relationships with key stakeholders, both internally and externally. As a growing business, troubleshooting skills are essential to resolve challenges swiftly, whilst contributing to delivering results and driving continuous improvement.

 

CANDIDATE PROFILE

·      2-3 years experience in wholesale operations or a related field

·      Excellent Excel skills, and proficiency in data analysis, modelling, and reporting is a plus.

·      Knowledge of order processing, key account management, and ensuring bespoke service based on individual customer requirements.

·      Skilled in managing 3PL’s and warehouse relationships.

·      Comfortable reviewing large sets of data to drive resolutions.

·      Experience in Health and Beauty preferred.

·      Systems Proficiency e.g. Sage X3 or SAP

·      Proven ability to work autonomously and collaboratively in a team.

·      Exceptional organizational skills, keen attention to detail, and a capacity to take ownership of the role in a fast-paced environment.

·      Proactive mindset, anticipating and addressing potential issues.

 

JOB SUMMARY & KEY RESPONSIBILITIES

·      Oversee the end-to end process from order receipt to final delivery, including coordinating with 3PL Warehouses.

·      Loading customer orders into Sage via order forms or EDI based Customer Vendor Portals. Knowledge of CSV format is a plus.

·      Send Order Confirmation and order response emails to the customer, updating any out-of-stock products and ETA dates of when they will become available to order.

·      Send orders to 3PL warehouse, and coordinate with couriers and shipping companies where necessary to ensure smooth and on-time delivery.

·      Have a very strong knowledge of Key Accounts: Harrods, Selfridges, Liberty, THG, NAP, Mecca, and their vendor portal ERP Systems, plus their special operating shipping routing guides.

·      Take ownership of customer's issues and follow problems through to resolution.

·      Deal with any returns/credits/debit notes raised for damages/shortages

·      Analyse inventory reports and demand plans in order to identify risk and gaps in stock levels.  Collaborating with cross-functional teams on stock movement/transfers to support demand.

·      Contribute to maintaining customer price lists and order forms, ie: price increases, new products, and discontinuations.

·      Contribute to running reports and analyzing sales data

·      Order management and execution of orders, to help drive sales to meet the Company's Monthly Sales Target.

·      Take the lead on day-to-day account activity and respond to clients and their teams’ requests on time.

·      Able to identify and escalate account issues where necessary.

·      Show initiative, be quick to respond, use logic and quick thinking to problem solve.

·      Find solutions and use concise, quick and efficient communications.

·      Comfortable working in a team and independently managing your own workload

·      Strong communication and interpersonal/people skills, ability to establish partnerships with all levels internally and externally.
